Job description

  1. Purpose of the Role

The Finance & Tender Administrator provides dual-function support by managing the end-to-end tender lifecycle and performing financial administrative duties. You will be responsible for sourcing tender opportunities, compiling compliant bid documents, and assisting the finance team with invoicing, cost analysis, and budget monitoring.

  1. Key Responsibilities

Tender and Bid Management:

  • Opportunity Sourcing: Monitor portals (e.g., e-Tenders, Treasury) daily for new RFQs, RFIs, and RFPs.
  • Bid Compilation: Coordinate and format all returnable documents, including BEE certificates, tax clearances, and technical proposals.
  • Compliance Oversight: Review tender files against specific client requirements to ensure 100% compliance before submission.
  • Tender Register: Maintain a master log of all submissions, deadlines, and won/lost outcomes.

Financial Administration:

  • Pricing Support: Assist in preparing cost statements and pricing schedules for tender submissions.
  • Financial Processing: Manage accounts receivable/payable, process sales invoices, and reconcile debtor/creditor records.
  • Reporting: Prepare monthly financial activity reports and assist with budget and payroll tasks.
  • Vendor Management: Register and maintain company profiles on vendor databases for various clients.
  1. Minimum Requirements
  • Education: Diploma or Degree in Finance, Commerce, or Supply Chain Management is highly preferred.
  • Experience: 3–5 years of experience in a combined finance and tender administration role, preferably within industries like Construction, Security, or Healthcare.
  • Knowledge: Familiarity with the Public Finance Management Act (PFMA), Treasury Regulations, and e-tendering platforms.
  • Technical Skills: Advanced proficiency in MS Excel (for financial modeling) and experience with accounting software (e.g., Pastel, SAP, Oracle or Xero).
