Job description
Rental Manager
Title: Rental Manager (central reservations)
Level: Junior–mid (close to owners/Marketing team)
Reports to: Here hospitality lead / dotted to marketing coordinator and house managers
Location: Cape Town
Purpose of role
To centralise and manage all guest enquiries, bookings, and reservation processes across the Here Hospitality property portfolio, ensuring speed, accuracy, and excellent guest service while maximising occupancy and revenue.
Key responsibilities
- Manage all booking enquiries (email, OTA, direct, phone).
- Maintain live availability, rates, and inventory across platforms (NightsBridge, Airbnb, Booking.com, Little Hotelier).
- Issue quotes, confirmations, and invoices; liaise with family office on payments, deposits, and refunds.
- Coordinate with house managers (SBV, Buffelsdrift, Cape Town) regarding guest arrivals, special requests, and operational readiness.
- Provide marketing with guest feedback and sales trends; collaborate on listing quality and promotions.
- Track and report weekly KPIs (occupancy %, ADR, cancellations %, enquiry response times).
KPIs
- First response time to enquiries ≤ 1 hour (within working hours).
- Occupancy % vs target.
- Conversion rate from enquiry to booking.
- Guest review ratings (≥4.8 average).
- Booking/payment errors
Skills and attributes
- Strong interpersonal and communication skills.
- Detail-oriented with good admin discipline.
- Familiarity with booking platforms / channel managers.
- Calm under pressure; service mindset.
Ideal candidate:
- Minimum 3 years’ experience in property management, hospitality, or luxury rentals
- Strong organizational and communication skills
- Tech-savvy with experience using rental platforms and CRM tools
- Self-motivated, detail-oriented, and able to work independently
- Professional demeanour and discretion in handling private matters
- Must be based in Cape Town
