Description:
JOB PURPOSE:Responsible for administration within the company?s diesel department. KEY RESPONSIBILITIES OR TASKS:Fuel Inventory Management:
Monitor and maintain accurate records of diesel fuel inventory levels.
Conduct regular inventory audits and reconcile discrepancies.
Order and coordinate the delivery of diesel fuel as needed.
Fuel Transactions:
Process fuel transactions and maintain accurate logs of fuel dispensed to trucks.
Ensure that fueling operations are conducted safely and efficiently.
Generate daily, weekly, and monthly reports on fuel usage and costs.
Reconciliation:
Reconcile diesel and oil transactions from trip sheets weekly.
Run reports to determine reconciliation accuracy and address variances.
Compliance and Safety:
Ensure compliance with all relevant health, safety, and environmental regulations.
Maintain safety data sheets (SDS) for diesel fuel and related materials.
Assist in the implementation of safety training for staff involved in fueling operations.
Equipment Maintenance:
Monitor the condition of fueling equipment and report maintenance needs to the Diesel Manager.
Assist in the scheduling of routine maintenance and repairs for fueling equipment.
Record Keeping and Documentation:
Maintain accurate records of fuel purchases, usage, and inventory.
Prepare and file necessary documentation for audits and regulatory compliance.
Ensure daily filing, archiving, and retrieval of trip sheets.
Communication and Coordination:
Collaborate with the Diesel Manager and other departments to ensure efficient fueling operations.
Communicate with drivers regarding fueling procedures and any issues that arise.
Customer Service:
Provide excellent customer service to drivers and other depot staff.
Address any concerns or questions related to fuel operations promptly and professionally.
SKILLS & CHARACTERISTICS.
Attention to detail is essential.
Quality-focused with strong communication and interpersonal skills.
Ability to work under pressure and meet strict deadlines.
Effective time management and computer literacy (Excel).
EXPERIENCE AND EDUCATION.
National Matric certificate (Grade 12).
Experience in the transport industry is advantageous.
Additional certification in fuel management or logistics is a plus
